NYU Gallatin Hardware & Equipment Purchase Request

This form is used to request hardware purchases through Gallatin. All requests must be submitted and approved before a purchase is made, regardless of funding source. Requests submitted through this form will be routed to Gallatin IT for review and processing. NYU Gallatin will not reimburse out-of-pocket purchases made without prior approval.

Software, Cloud Services & Subscriptions

Requests for software, cloud services, AI tools, web hosting, research platforms, and other technology subscriptions should not be submitted through this form. These requests must be submitted through NYU IT’s Buying Tech at NYU process for the appropriate security, privacy, accessibility, and technology review.

Hardware & Specialized Technology 

Hardware and specialized technology purchases should be submitted through this form before purchase. This includes laptops, tablets, monitors, scanners, external storage devices, cameras, VR equipment, drones, and specialized research technology.

Gallatin IT will review these requests for compatibility with NYU standards, existing NYU-supported solutions, and applicable Gallatin device and purchasing policies.

Device Policies

  • If your administrative role requires Microsoft-only applications, you will be issued a Windows device. 
  • Parallels will not be installed on Gallatin-issued Macs as a means of supporting Windows-only applications, including EMS.
  • Tablets required for a specific teaching, learning, or research purpose must be purchased using faculty research funds. Please provide the appropriate Chartfield and consult with Ivy Garcia regarding the funding source. 
  • Gallatin IT does not provide tablets to full-time or part-time staff.

Submission Guidelines

  • Full-Time Staff and Administrators: Supervisors must submit requests on behalf of their staff. Requests submitted directly by staff will require supervisor approval before they can proceed.
  • Full-Time Faculty: Faculty should submit their own requests. Faculty are eligible for one Gallatin IT-funded device and one faculty research-funded device within the applicable 5–6 year replacement cycle.
  • Part-Time Faculty: Gallatin-funded equipment is not provided to part-time faculty.
Technology purchases made without prior review and approval may result in delayed or denied reimbursement.

These specs apply to all of our base models: Windows desktop, Windows laptop, iMac, MacBook Air, and Pro.

If your office computer is being replaced you will automatically get a laptop, monitor, mouse and keyboard. You will be required to use the laptop when you are in the office and at home when remote.
